Part of the series on the Public Services, Administration and Chambers
Public buildings have many doors and even more different access permissions. Employees need access to their work areas, visitors may be permitted to enter specific rooms, external service providers require time-limited access, and sensitive areas need to be protected with particular care. Managing all of this with key lists, transponders, paper forms and manual approvals can quickly become an organisational burden.
ZEUS® Access Control connects access permissions, doors, employees and security areas in one central system. This makes it possible to track who is authorised to access which areas, when and where, and which permissions have actually been assigned.
A key opens a door. Modern access control, on the other hand, determines who is allowed to open that door, when it may be opened and how long the access permission remains valid. This is particularly relevant in public buildings. An employee changes departments. An external service provider needs access for two days. An area must not be accessed outside certain hours. A lost access card needs to be blocked immediately.
With ZEUS®, access permissions can be managed centrally and with a high level of differentiation. Permissions can be assigned to individuals or organisational units and defined based on time and location. Security does not come from having more keys. Security comes from clear access permissions.
A common weakness of traditional access management is not the initial assignment of permissions. It is keeping them up to date. An employee changes departments. A new manager takes over a position. A service provider completes their assignment. An access card is lost. Every change may require access permissions to be updated. With centralised access management, permissions can be specifically changed or blocked. This helps ensure that access rights remain aligned with the organisation's actual needs. Access permissions should reflect the organisation, not outdated key rings.
A town hall or administrative building welcomes a wide range of external visitors every day. Citizens, tradespeople, suppliers, service providers, applicants and business partners. Not every visitor needs the same level of access. With VISIT, the visitor process can be organised digitally. Visitors can be registered in advance or directly on site. Access rights can be granted for a limited period. Safety briefings can also be integrated and documented digitally. This turns reception into more than a simple visitor list. The administration knows who is expected, who is currently in the building and which areas they are permitted to access.
This is where the value of an integrated system becomes clear. Visitor management organises the visit. Access control manages the actual access. With VISIT, for example, visitors can receive a temporary visitor badge with predefined access rights. Once the visit has ended or a defined period has expired, the permission can be automatically blocked. Visitor management and access control thus become part of a shared security process.
Not every door in a public administration has the same level of importance. A citizen service office has different requirements from a server room. A meeting room has different requirements from an archive. An administrative area has different requirements from a room containing particularly sensitive information. ZEUS® enables the structured management of room zones and security areas as well as individually defined access permissions. This allows different security areas within a building to be taken into account. Not everyone should be able to go everywhere. And that is exactly what a digital access control system should reliably reflect.
Modern public buildings are much more than offices. They have different organisational units, flexible workspaces, external service providers, visitor areas and, in some cases, multiple locations. Added to this are requirements for security, data protection and transparent, traceable processes. ZEUS® Access Control can be connected with other ZEUS® solutions, including Time and Attendance, HR Management, VISIT and ZEUS® keyless. This creates a shared system environment instead of a collection of isolated solutions.
Modern access control should do more than simply open doors. It must make it possible to understand which permissions are in place and which access events have taken place. ZEUS® centrally documents access information and makes it available for analysis and security checks. This creates transparency for those responsible and makes it easier to review access permissions. A door opening thus becomes a documented security process.
Especially in public buildings with many doors and constantly changing access permissions, a traditional locking system can quickly become inflexible. With ZEUS® keyless, digital locking cylinders and door handles can be managed centrally. Access permissions can be adapted to the organisational structure and connected to the ZEUS® system environment. This also makes it possible to secure areas digitally where conventional door wiring would not be practical or economically viable. The key becomes a digitally controllable access permission.
ZEUS® Access Control supports public authorities and organisations in managing buildings, employees and visitors digitally and controlling access permissions in a targeted manner. Permissions can be individually defined and adapted to organisational units, areas and time periods. Visitors can be integrated into the process via VISIT. With ZEUS® keyless, access management can be expanded with digital locking technology. More control over doors. More transparency around access permissions. More security for public buildings.
Public buildings are used by many different groups of people. Employees need access to their work areas; citizens and visitors move through publicly accessible areas; and external service providers or certain employees may require access to sensitive areas. A digital Access Control system establishes clear rules here and prevents authorizations from being granted across the board or permanently. With ZEUS®, access rights can be specifically assigned to individuals, areas, and time periods. This allows those in charge to maintain an overview of who is permitted to enter which areas and to quickly adjust or revoke authorizations when circumstances change.
Yes. Access permissions in ZEUS® can be set for specific time periods in accordance with organizational requirements. This is particularly useful, for example, for external service providers, contractors, visitors, or employees who only need temporary access to a specific area. A permission does not have to be permanent if it is only needed for a specific period of time. This increases control while simultaneously reducing the manual effort involved in managing temporary access rights.
Yes. Public buildings often consist of different areas with varying security requirements. The lobby or public service office is open to the public, while staff offices, archives, technical rooms, or server areas require special protection. ZEUS® allows you to define different room zones and security areas and assign individual access permissions to them. This makes it possible to digitally map the building structure and restrict access to only those areas that are actually necessary for each person.
Yes. ZEUS® logs access events and makes this information available for analysis and auditing purposes. This makes it possible to track which access events have occurred and what access permissions are in place. This provides additional transparency for the officials in charge of a government agency and can be helpful, for example, when inspecting secure areas or investigating incidents. A simple door opening thus becomes a traceable and documented process.
It is precisely during such changes that the advantage of a digital Access Control system becomes apparent. If an employee changes roles, they may need different access rights. If they leave the agency, however, their existing access rights must be revoked. With manual management, a gap can quickly arise between personnel changes and the actual adjustment of access rights.
