Why now is the right time to consider the move

Cloud computing is no longer a topic for the future. In 2025, 54% of companies in Germany with at least ten employees used paid cloud services. Among companies with 50 to 249 employees, the figure was 65%. At the same time, the pressure to digitalise HR and payroll processes is increasing. Under Section 8 of the German Contributions Procedure Regulation (BVV), employers can still apply for an exemption from maintaining certain payroll and remuneration records electronically until 31 December 2026. This transitional provision will therefore expire at the end of 2026.

For companies with an existing ZEUS® installation, this raises a very specific question: Does the existing solution have to be replaced in order to take the next step towards digitalisation? No. This is exactly where ZEUS® Cloud-Entry comes in.

Cloud-Entry instead of a complete system change

Moving to the cloud may initially sound like a major IT project. Data needs to be transferred, systems migrated and processes secured. With an existing ZEUS® installation, however, the process is much more straightforward. Your fully configured ZEUS® database is prepared for migration, neutralised with regard to data security and transferred to the ISGUS data centre together with your current data.

The actual interruption of your on premise system lasts no more than half a day. During the transition, time and production data can continue to be recorded via your ISGUS terminals and ZEUS® mobile. Your Access Control system also remains active. This turns what could otherwise be a traditional system change into a controlled transition from your existing ZEUS® installation to the ISGUS Cloud.

What does this mean for HR, IT and Management?

• Less effort for IT: your ZEUS® solution no longer needs to be operated entirely on your own infrastructure. Updates, operation and the technical environment are managed in the cloud.
• More possibilities for HR: the cloud creates the foundation for expanding ZEUS® with additional functions. These include, for example, ZEUS® HR Management and the digital personnel file. This allows HR processes to be more closely connected and managed digitally from a central platform.
• Greater planning certainty for management: your existing investment and established processes remain intact. At the same time, you gain a modern technical foundation on which your Workforce Management can continue to evolve.
• The key point is not the move to the cloud itself. What matters is what you can do with your ZEUS® solution afterwards.

Digital HR processes are becoming increasingly important

HR digitalisation does not end with time tracking. Employee master data, documents, working hours, absences and other information are still often managed across different systems or processes. The requirements for payroll and remuneration records in particular demonstrate the direction in which the world of work is developing. Section 8 of the German Contributions Procedure Regulation (BVV) already provides for certain payroll and remuneration records to be maintained and made available electronically. The existing exemption option ends on 31 December 2026. With ZEUS® HR Management and the digital personnel file, companies can manage their employee records digitally in a structured way, creating an important foundation for further digital HR processes.

What happens when you move to the ISGUS Cloud?

The transition with ZEUS® Cloud-Entry begins with an assessment of your existing ZEUS® system. Your existing database is prepared for migration and appropriately configured for transfer to the ISGUS Cloud. Your existing data and configurations are then securely transferred to the ISGUS data centre.

No lengthy system downtime is required for the transition. The actual interruption of your on-premise system lasts no more than half a day. Your time and production data recording as well as your access control system can continue to be used during the transition.

Once the migration has been successfully completed, your existing ZEUS® solution is available in the ISGUS Cloud. Your established structures and existing data remain the foundation. At the same time, you create the basis for expanding your ZEUS® solution in the future with additional cloud-based functions and digital HR processes.

Your Data Secure in the ISGUS Cloud

Your ZEUS® solution is operated in the ISGUS Cloud at the ISGUS data centre. The security of your data is safeguarded by a certified information security management system (ISMS) in accordance with ISO/IEC 27001. The ISMS defines binding processes and measures for protecting information, ensuring secure system operation and managing security risks.

Data protection requirements under the GDPR also apply. Personal data is processed in accordance with applicable data protection regulations and protected through technical and organisational measures. This allows you to combine the familiar operation of your ZEUS® solution with a professionally managed cloud infrastructure.
